Due to continued growth, we are recruiting for a Workspace Cluster Manager to oversee a portfolio of sites, ensuring our teams continue to improve our spaces and provide exceptional Workspace services to the Flutter business.
Visibility on site will be a key driver for success in the role and individuals should be willing to travel to sites within their Cluster on a regular basis.
Successful candidates will have a proven track record in Corporate Real Estate or Facilities Management, and excellent interpersonal skills.
Key Tasks & Responsibilities:
Process / Procedures:
- Support site mobilisations including implementation Flutter Workspace and Risk Management processes and procedures, development and testing of operational procedures
- Ensure that the facilities are operating to a high standard at all times
- Act as Authorised Person for HV & LV and other disciplines (if requested / required)
- Support the Workspace Managers and Risk & Compliance Teams with root cause analysis / post problem review of any incidents or faults
- Ensure Workspace Managers conduct site scenario / mock drill training and ensure systems are updated accordingly
- Ensure that routine maintenance is carried out to all building plant, equipment and systems to meet and exceed expectations, and agreed service level agreements.
- Support the Workspace Managers with timely planning and delivery of plant and System shutdowns ensuring business Stakeholders are updated accordingly
- Ensure all reactive repairs are undertaken safely and within appropriate time scales
- Support the Workspace Teams with Supply Chain opportunities including identification and selection of suppliers, and continuous improvement initiatives
- Ensure each site under your remit operates in adherence to the agreed Permit to Work Systems
- Support the Workspace Manager on management of critical spares and materials
- Ensure that comprehensive maintenance records are kept for works undertaken on site
- Ensure the Workspace Teams are capturing all Statutory Compliance requirements and records are uploaded to the agreed CAFM System.
- Ensure that Method Statements and Risk Assessments are adhered to and works carried out safely
- Support the provision of a safe & healthy working environment, and ensure compliance with all Company policies and procedures, as building / Landlord policies, procedures and working arrangements, as required
- Ensure the Workspace Team have adequate Business Continuity and Emergency Response Plans, working closely with site and the Risk & Compliance function within CRE.
- Support & promote development opportunities for the team, ensuring performance management and goals are set, managed and closed out
Innovation:
- Provide input for the development of improvement solutions
- Further develop operating standards, processes, and procedures for site
- Actively identify/implement innovation across the sites to enhance performance and grow the team’s knowledge.
Operational Excellence:
- Support as required during site audits and inspections internally and from the wider business / externally
- Continually communicate high priority tasks issues to end users using the appropriate communication channel
- Assist and enhance service delivery through best practice and the effective use of site systems and equipment.
- Support the Workspace Team with Minor Works and Projects, ensuring applicable Change processes are followed
- Produce reports as required by the Head of Workspace and wider business, including financial and operational reporting on a regular basis
- Development and implementation of Workspace policies in line with the global workspace group, with the principle of simplification.
People:
- Responsibility for ensuring site Training Matrices are in place and managed by the local Workspace Teams
- Culture carrier and promotes best practice.
- Line Management of Workspace Managers in each location under your cluster
- Working closely with wider CRE functions including Risk & Compliance, Physical Security, and the Leasing Teams
Finance and Commercial:
- Build and develop relationships with key business and account stakeholders.
- Assist the Head of Workspace with preparation and management of workspace operating and capital expenditure budgets.
Building relationships:
- Understand, anticipate and deliver customer needs while building effective relationships whilst optimizing contract performance.
- Positively respond to both our internal and external customers (often in a matrix environment) through effective communication and personal accessibility/credibility.
